Adcraft is seeking an Event & Project Manager. This role is critical in helping to ensure Adcraft’s success by supporting and serving the members of Detroit’s diverse advertising and marketing community through our many annual events and ongoing operations. This position is full-time and will report to the Adcraft Director.

Roles & Responsibilities
Event Coordination & Operations
- Assists, coordinates and manages the details of the 10+ annual events hosted for our community, membership and sponsors
- Supports all aspects of event planning including timelines, budgets, vendors, communications and coordination with event sponsors, committee leads and attendees
- Provides pre and post event administrative and operations support
- Ensures that all activations are executed flawlessly with close attention to detail and anticipation of the unique needs of each event
- Provides input to the design and delivery of events that helps to ensure a high value experience for event participants, sponsors, suppliers and board members
- Uses effective project management skills from event proposal to completion ensuring that all events are delivered on time, within budget and meet/exceed expectation
- Communicates and maintains timelines and priorities on every project while maintaining ongoing communications with event stakeholders during event planning and activation
- Coordinates event logistics including location, catering, entertainment, registration, etc
- Proactively handles any issues and troubleshoots any emerging challenges leading up to and on event day
Operations & Administration
- Proactively identifies ways to support the entire Adcraft team to ensure the highest possible efficiency and adoption of new processes, technologies, etc
- Assists with all ongoing project operations as needed and assigned
- Ensures effective execution and organization of all day-to-day responsibilities
- Maintains administration of all details required for scheduling and planning events including event planning notes, communications, budgets and documentation
- Ensures adherence to operations in accordance with the Adcraft bylaws
- Coordinates committee and event partners supporting their ongoing needs
- Provides administrative support and coordination to Adcraft Director, President and Executive Board as needed
- Maintains and organizes accurate record keeping and files for all event communications and budgets
- Embraces new and emerging technologies and tools to increase efficiency and organization
Communications
- Develops content calendars for the monthly Adcraft e-newsletter and collaborates with other staff to ensure alignment of messaging across communications and social media
- Coordinates design and delivery of monthly e-newsletter to membership
- Compiles post-event evaluation to document results (e.g., number of attendees, guest satisfaction surveys, revenue) and “lessons learned” to continually improve event quality
- Prepares post-event recap presentations for all events customized to each sponsor or audience in support of their needs, to solidify ROI and identify areas for improvement
- Partners with committee leads, executive Board and other Adcraft staff to support event publicity through social and other communication channels
Relationship Management
- Is a trusted and influential resource for Adcraft staff, board and committee members
- Represents Adcraft in a professional and inspiring way
- Adapt, react, and operate with awareness of the ongoing needs of Adcraft members and the industry
- Exemplifies Adcraft’s mission in all interactions, moments and communications
- Forges and develop strong relationships across all Adcraft members, leaders, sponsors and partners
Preferred Skills & Qualifications
- Bachelors Degree in advertising, communications, business or related field
- Experience in non-profit work contributing to operational excellence
- Two+ years experience in advertising or related field and/or management of professional organization
- Experience with supporting teams, events, project timelines, budgets and details
- Strong attention to detail and organizational capabilities
- Excellent technical capabilities including proficiency with Microsoft Office & Google suite, and other tools used for creating efficiency & organization including AI and newly emerging products. Design and web development experience a plus
- Strong written and verbal communication skills
- A proven ability to form trusted business relationships across levels and functions
- A team player who is excited by variety and a willingness to pitch in wherever needed
- Ideal candidates will have an ability to coordinate day-to-day details while also being passionate about what’s possible

Reports to: Adcraft Director
Working Hours: This is a full-time, exempt position. At times, working hours will and require flexibility including some evenings and early morning work to accommodate events and other meetings.
Compensation & Benefits
Adcraft Detroit offers a competitive salary and time off policy. The base salary range for this position will be between $55,000 - 60,000 annually. Final compensation is determined based on skills and experience. We also offer a 401(k) program and a generous paid time off program including 15+ annual paid holidays.
